This is the privacy notice of Surtal Arts (also known as The Surtal Asian Arts Ltd). In this document, “we”, “our”, or “us” refer to Surtal Arts. We are charity number 1121010 and company number 5415478 registered in England and Wales. Our office is at 133 Moorside Crescent, Derby DE24 9PT.

Surtal Arts works with communities to deliver magical and memorable art experiences. Established over 24 years ago, we create work with people to improve well-being and inspire change. Our festivals, workshops and events offer the chance for people to be creative, learn new skills and build stronger communities.

We take every precaution to protect your privacy and confidentiality. We understand that all users of our website, mailing list subscribers and those who otherwise interact with Surtal Arts are quite rightly concerned to know that their data will not be used for any purpose unintended by them, and will not accidentally fall into the hands of a third party.

Surtal Arts seeks to protect personal data and is committed to meeting the legal obligations as detailed in the Data Protection Act 1998 and the General Data Protection Regulation (GDPR) 2018. Our privacy policy outlines how and why we use personal data. Our privacy policy was last updated 24th May 2018.

Our policy is both specific and strict. Type of information we collect and how

In order to work with a wide range of participants across many different communities and report to our funding bodies, we collect and hold personal data such as post code, contact details and photographs. All personal data is kept securely and for no longer than necessary. Photographs may be used on promotional material, in the media and on our social media accounts. We obtain permission for any images we use through photo consent forms.

If you have signed up to receive our monthly e-newsletter we use your information to send you updates of Surtal Arts current activity and upcoming events. As we are a registered charity we will often include fundraising updates, offers and opportunities. We will make sure your information is accurate and up-to-date. You may unsubscribe from our monthly newsletter and mailing list at any time, each newsletter includes an unsubscribe button or you can contact our office directly on 07986640448 or email us info@surtalarts.co.uk

If you have signed up to one of our workshops or events or have participated in one of our projects/classes and given your contact details we will always explain to you why and how we will use your personal information.

Way we use your information

Your details will be mainly used to contact you regarding our activities that you are interested in. We will also keep this information for monitoring and reporting purposes. All information is kept secure at all times and participants have the right to access this information.

If you are employed by Surtal Arts as an artist or freelancer for example we will securely keep your personal information for legal, financial and reporting reasons. Any information shared when reporting is anonymised. Personal information is destroyed after 7 years. 


The lawful basis that we use for processing the data is that either: 

  • You have given us your consent, e.g. to receive our newsletter or use your image 

Or 

  • You are a participant and the processing is necessary for the purposes of legitimate interests pursued by the Data Controller (Surtal Arts). In this case the legitimate interest is to carry out monitoring and reporting which is a requirement of all our projects.  Some examples include:

  • We will contact you with information specific to the project you are taking part in. 

  • We report your post code and some protected characteristics to Arts Council England

 

 

Use of site by children

We do not market to children, nor do we sell products or services for purchase by children. We do sell products and services for end use by children, but for purchase by adults. If you are under 18, you may use our site only with consent from a parent or guardian.

Opinions expressed or material appearing on such websites are not necessarily shared or endorsed by us and should not be regarded as the publisher of such opinions or material. We do not give or sell your information to third parties for any marketing purposes. Any information we disclose about you, other than for purposes outlined in this privacy policy, will be if required to do so by law.

The varied nature of our projects requires a lot of partnership working; this means we may need to share personal information with other organisations such as health professionals, schools and other charities. As Surtal Arts works in collaboration/partnership with various organisations who may be funded by Arts Council as their NPOs, we may be required to share data for them. In these circumstances you will always be made aware of who will have access to your data and your rights.

If you provide information to us with a view to it being read, copied, downloaded, or used by other people, we accept no responsibility for what that third party may do with it. It is up to you to satisfy yourself about the privacy level of every person who might see your information. If it is available to the entire World, neither we nor you have no control whatever as to how it is used.

In the course of our work we use third party websites (WordPress, Eventbrite, Twitter, Facebook, Instagram, You Tube, SurveyMonkey and Mailchimp). We are not responsible for the privacy policies or practices of the third party websites.  We encourage our users to be aware when they leave our site & to read the privacy statements of these sites. You should evaluate the security and trustworthiness of any other site connected to this site or accessed through this site yourself, before disclosing any personal information to them. Cancellations

We reserve the right to cancel events at short notice due to unforeseen circumstance, and we will make every reasonable effort to inform you via our website, Facebook, blog, Twitter account, and mailing list.

You have the right to see the information we keep on you. This is a ‘Subject Access Request’. You need to provide your request in writing with proof of identity before we can send you details.
